Dogtopia is looking for a full-time Executive Assistant to join our Phoenix Support Office team. This role serves as an extension of the CEO and VP of New Daycare Development and creates more capacity for them to focus on their top priorities for the company. A keen eye for detail, a commitment to quality and consistency, composure under pressure, and a positive outlook are paramount. The candidate will be able to handle confidential information and complex situations with grace and the highest level of business acumen.

As an Executive Assistant, a typical day might include the following:

  • Building and maintaining trust with the CEO and other members of the Executive Team
  • Proactively managing, assessing, and predicting the needs of the Executive Team to ensure they are prepared and organized for all internal and external meetings
  • Problem solving, taking on difficult challenges, and finding creative solutions
  • Taking ownership of the time you spend with us, making a difference, and staying motivated and driven
  • Maintaining structure in a fast-paced, highly dynamic environment
  • Composing, preparing, and editing all communication, correspondence, reports, and presentations (including Quarterly Management Reports, Conference Presentations, the Annual Pipeline Report, and Training Updates)
  • Subscription management and user maintenance for eSite Analytics and Smartsheet
  • Developing systems, procedures, and protocols that promote collaboration
  • Identifying platforms for information sharing


  • You have previous experience as an Executive Assistant supporting Senior-Level Executives
  • You are a self-starter with strong organizational skills, acute attention to detail, and the ability to efficiently manage several tasks and projects to completion
  • You are an experienced and proactive project manager who completes complex tasks autonomously, reacts with appropriate urgency, and takes effective action
  • You thrive in managing high-stress environments while fostering a culture of fun
  • You excel in a fast-paced environment while liaising with an array of internal and external stakeholders
  • You possess a high level of professionalism and ability to be trusted with sensitive and confidential information
  • You are a problem solver and love taking on difficult challenges and finding creative solutions
  • You don’t get frustrated easily. If you don’t know the answer, you leverage your village of knowledge and are committed to finding the answer
  • You are patient, level-headed, and cool under pressure
  • You communicate clearly, you write well, you speak clearly
  • You are motivated and driven. You take ownership of the time you spend with us and truly make a difference


  • An undergraduate degree (preferred)
  • Real Estate or legal office experience (a plus)
  • Project Management certification and/or experience
  • Microsoft Office Suite proficiency (including SharePoint)
  • Experience with Smartsheet
