Top 5 Ways to Better Manage Your Time as a Franchisee
August 18, 2025If you often catch yourself asking, “Where did all the time go?” throughout the day, it may be time to explore new and effective strategies to better manage your time. A franchising role can come with a variety of responsibilities, each requiring a time commitment, but by implementing a time management strategy, you can help balance your daily tasks.
Time is a valuable resource for a franchise owner, especially when juggling multiple roles. To help achieve your business goals while maintaining a work-life balance, we’ve outlined some techniques you can try to develop a strategy that fits your daily routine. In this post, you will learn:
- How to leverage technology to automate tasks
- How to set realistic goals
- How to delegate tasks
- How to identify what’s considered important and urgent
- How to create a more effective schedule with time blocks
1. LEVERAGE TECHNOLOGY TO AUTOMATE TASKS
We are living in an age where artificial intelligence (AI) is being integrated into nearly all tools and software. From marketing and accounting to customer support and beyond, franchise owners have numerous opportunities to leverage AI to their advantage.
Consider those repetitive, time-consuming tasks in your day. Using automation can help streamline them, often boosting accuracy and speed. While franchisors may require franchisees to use specific software for certain functions, such as customer management, there are still many opportunities to implement AI in other areas.
For instance, you can use AI to create to-do lists that automatically break down tasks, simplify bookkeeping to better navigate important duties like payroll and taxes, automatically schedule team members based on availability, automate inventory reorders, and much more. Incorporating these tools into your daily routine can help reduce manual input and free up time for other duties.
2. SET REALISTIC BUSINESS GOALS WITH A TIMELINE
If you have goals for your franchise that you want to achieve, it’s important to give yourself a timeline and be as specific as possible. When goal setting becomes too general and open-ended, you may find yourself putting in hours into efforts that may not help you achieve your goal.
You can start by setting a specific goal and determining how you will track its progress, and creating a timeline for reaching each milestone. With this visual in place, you can better understand how much time you need to complete various tasks that can help you reach your goal by a given date. This approach allows you to concentrate on key tasks and avoid getting sidetracked by irrelevant activities that take up your time.
As a franchisee, involving your team in goal setting can be incredibly important, as they can play a key role in helping you achieve your business objectives. Holding team meetings and maintaining effective communication can help make sure that each team member performs their duties efficiently, allowing you to feel confident that time is well spent.
3. INTERNALLY DELEGATE ITEMS ON YOUR TO-DO LIST
A way to help manage your time effectively is to review where your time is currently going. Are there responsibilities in your day that take up a lot of time that could be passed on to a willing member of your team?
For example, if following up with customers for service appointments takes up a significant amount of your time that could be spent engaging with customers in your store or meeting with suppliers, take it as a sign that you should consider hiring a qualified manager or front desk associate, or delegating this task to a team member.
To delegate effectively, start by listing all the tasks you handle within a week (or even a month) and identify which items can be assigned to your team. Delegating tasks can not only help take the load off your plate, which can help prevent burnout, but it can also provide your team with opportunities to grow in their roles.
Remember to factor in any additional time it takes to train and support team members to have them perform these delegated tasks effectively.
4. IDENTIFY YOUR HIGH-PRIORITY TASKS
Determining your high-priority tasks can help make sure you are effectively tackling and completing important items in your day. First, it’s important to identify the importance and urgency of each task. The Eisenhower Matrix, a time management tool, can help. Start by listing all the items on your to-do list and place them into the following four quadrants:
- Urgent and important: Complete these time-sensitive tasks immediately
- Important but not urgent: Schedule these tasks for later
- Urgent but not important: Delegate these tasks wherever possible
- Not urgent and not important: Consider these the unnecessary tasks that distract you
Breaking down each task and moving them to each quadrant can shed some light on the work you’re completing that may not be as urgent as you thought or require more long-term planning rather than immediate attention. Additionally, you can identify the tasks you’ve been in a routine of doing that can be minimized, helping you better spend your time on other tasks that directly impact your franchise business and your goals. With this method, you can also identify any tasks that you typically take on that you can delegate to a different team member.
Once you’ve established your high-priority, urgent tasks, you can then break each task down into manageable parts. Even better, you can predict how long each sub-task will take to complete the main task, helping you determine how to best organize and prioritize your day.
5. CREATE TIME BLOCKS IN YOUR SCHEDULE
You may have several items on your to-do list in your day, but if you find you’re not ticking each one off, it may be because you haven’t factored in breaks, unexpected events, interruptions, team meetings, or the time needed to transition between tasks.
As a franchisee, you might often find yourself bouncing from one task to another, and without a proper schedule, you may lose track of time. Although it could be challenging to plan your day compared to someone in a more corporate role, consider blocking out time for specific activities to say on track.
For instance, if you like speaking with your team and having them ask you questions in the morning to help kick off the day, block off a couple of hours just for that purpose and let your team know they can go to you during those hours. Similarly, if you want to engage with your customers, allocate time to chat and build those relationships, knowing that you’ve planned for it. For high-priority tasks, dedicate a specific timeframe and let your team know that you will be unavailable for non-urgent matters. Since it can take about 23 minutes to regain focus on a task after an unrelated interruption, having dedicated deep-focus time can be essential for managing your time effectively.
Of course, the unexpected can arise. However, you can still incorporate flexibility into your schedule so that these surprises won’t disrupt your day. For example, consider adding 15-minute blocks at various points in your day to address any unexpected issues, and arrange the rest of your tasks around these blocks of time. This approach can allow you the chance to handle interruptions while still getting back on track.
Before you can create time blocks in your schedule, it is first important to track how long certain tasks take you, on average. There are digital tools out there that can provide detailed insights into how you spend your time. However, if you’re on the go, using your smartphone’s timer can also be effective. Once you are aware of how long specific tasks take and identify areas where you may be spending too much time, you can create a more accurate schedule. This can help you carve out time for other important activities, such as family time and self-care.
